When a user is submitting an expense request or a trust check request, they select a pay-to-contact. This is a Filevine contact that has no direct sync with QuickBooks. When our systems draft the transactions in QuickBooks, they look to see if QuickBooks has an exact naming match in the QuickBooks vendor list. If there is, we draft the check to this vendor. If there isn't, we create a new vendor.
The exception to this that you have noticed is when the pay-to-contact in Filevine is the same as the contact assigned to the Filevine project itself. We received feedback early in development that our customers preferred to have only one customer in QuickBooks for their client contact vs a vendor and a customer. This was the reason for the design.
